The deal, in plain English. These terms apply to group shoot days at Bailey Studio and are part of your booking, run by Bailey Concepts Limited.
1. Booking and your deposit
A £250 deposit secures your date and comes off your final balance. Weekend group dates are the scarcest thing in our diary, so the deposit is what holds one for you: if you cancel, it isn't refunded. That said, if we manage to refill your original date, we'll put your deposit towards a future booking instead - we'd rather you shoot with us than lose it.
Need to move your date? With 8 weeks' notice or more, rescheduling is free and your deposit moves with you. Inside 8 weeks, a fresh deposit secures the new date - refilling a group day at short notice means reorganising a room full of people, not just one.
If we ever have to cancel on you, you get a full refund and first pick of new dates.
2. Numbers and pricing
Your rate depends on final headcount (all plus VAT where it applies):
- 1-4 people: £500 for the first person, £300 per additional (10 edited images each)
- 5-6 people: £325 per person (10 edits each)
- 7-8 people: £275 per person (5 edits each)
- 9 people: £225 per person (5 edits each)
- 10+: £200 per person (3 edits each, selected by the coach)
Weekend dates carry a 10-person minimum, and the minimum applies even if people drop out. Numbers close to a tier boundary? Talk to us - there's often a sensible way to structure it. Based outside the UK? We'll confirm your VAT position on the invoice.
3. It's a group day, not a stack of one-to-ones
A group shoot is its own product. We plan your stations in advance around your numbers and day style, and the group moves through them together - how many set-ups you get through depends on headcount, with most group days working through up to eight. We direct every frame and everyone gets their shots, but nobody is working from a personal shot list: this is a group day, not individual shoots run back to back. Anyone who wants full creative control of their own session should book a one-to-one.
4. Payment
The balance is due on shoot day once final numbers are confirmed. Card or transfer at the studio both work, or we can invoice you straight after the shoot. Galleries and edits are released once the balance is settled.
5. Your time slot
We run the studio back-to-back, so your slot is your slot. Arriving late shortens your shooting time rather than shifting it - build your group's travel around that. If yours is an afternoon slot, allow a short crossover while the morning's clients pack up.
6. Extra people on the day
Welcome. Walk-ups and late additions simply join the headcount at your group's rate.
7. Your group is your party
The booking coach is responsible for their group on the day: conduct, the studio rules, and any damage caused by members of the group. The rules are simple and sent to everyone who registers - bags and food in the dressing room, dumbbells on the rack or padded floor only, oiled skin off the concrete walls, and the place left as you found it. We have no commercial bins, so what your group brings in leaves with your group, boxes included.
8. Shooters only - no guests or spectators
Group days are for the people shooting. Please don't bring partners, friends or children along to watch: a working studio has no safe space for spectators, our insurance doesn't cover non-participants, and the group dynamic matters - the best group days happen when everyone's in it together rather than splitting off with the person they came with. If there's a genuine special circumstance, ask us before the day and we'll give you a straight answer. Anyone who wants to join the shoot itself is welcome - they simply join the headcount at your group's rate.
9. Filming and media passes
Phones are always fine. Videographers, professional cameras and gimbals need a media pass - £200 + VAT for the day, covering all of it, arranged in advance. No pass, no professional filming on the day.
10. A drink is fine
Some people bring something to loosen the nerves, and that's welcome. Same rule as everything else: bottles leave with the group.
11. Reserved set-ups
Some set-ups, the motorbike included, are reserved for one-to-one shoots only. Bikes have been damaged on fast-moving group days before, so this one is strict.
12. Images and rights
Bailey Concepts Limited owns the copyright in all images, as with every shoot we do. By taking part, your group consents to us using images for our own marketing - anyone who'd rather opt out can tell us by email at any time, no questions asked. Coaches are free to use their group's images to promote their coaching. Any other commercial use of the images needs our approval in advance.
13. Selections and editing
Once the gallery is ready, you'll get the link and exactly how selections work for your group's size. There's no deadline on selections - but editing starts when selections are complete, and the whole group's images move together, so the slowest step sets everyone's pace.
Once your group's selections are all in, edited images are delivered within 6 weeks - group galleries are a bigger job than a one-to-one shoot, and we'd rather promise six weeks and land early.
14. The boring but important bit
